Document Storage Company offers more secure storage for medical records

MEDIA RELEASE

Medical Care Records at Yeovil District Hospital and Symphony Care GP practices safely archived & stored by Somerset Document Storage Company

Following confirmation from Yeovil District Hospital that it is extending its contract with Somerset document storage company Filofile for a further three years, Filofile is delighted to announce that it is now also working with Symphony Care which runs a group of GP surgeries across the county.

Storing 6,700 boxes for Yeovil District Hospital, Simon Barber, Managing Director of Filofile, explained: "The department of Medical Records at Yeovil District Hospital was the first to use Filofile. Since then many others from the Trust have signed up, and all have been extremely impressed by the professional and confidential service we provide."

The word has obviously spread across the county and GP surgeries run by Symphony Care are the latest clients to use the service.

Kathy Eke, Practice Manager for Oaklands Surgery, said "We have only just started with Filofile and are still in the process of transferring all our patient records over to storage.

"The benefit to the surgery is the safe and secure storage of our patient records and also it frees up space within the practice as we were struggling to accommodate the growing number of records.

"We have found Simon and colleagues to be very professional and helpful as we have never used an off-site storage before. The website to organise collections and retrievals is very simple to use and the service has always been efficient. Simon was happy to work with us as typically with the Hospital notes they are retrieved and then returned to storage, but for us a lot of the records we pull back are then sent off as the patients change surgeries. We are learning together to make it work affectively for us and Filofile."

Simon Barber comments, "Filofile is an extremely cost effective way for organisations like the NHS which includes hospitals and GP surgeries, to store and manage records responsibly. What's more we run an extremely efficient collection and retrieval service. Ordering online by 4.00 pm ensures next working day delivery. Our free retrieval allocation makes this service very cost effective and for more urgent requirements, a 6hr or 2hr turnaround is also available, for a reasonable charge"

Whether it is medical records, legal documents or valuable historical information, outsourcing document storage and management has never been more popular, particularly with the stringent demands of General Data Protection Regulation (GDPR) which may require a business to produce evidence of what has been stored about an individual and also demonstrate that information is properly managed, safe and secure - both digitally and in hard copy.,

Also despite talk of "the paperless office" statistics from the Information and Records Management Society (IMRS) confirm that over 85% of business documentation is still printed out as hard copy.

A new warehouse provides 2,400 square foot and is built to house another 10,000 boxes. The building has a de-humidifier that keeps every file in pristine condition and there are tight police-linked security systems, fire alarms, shelving and smoke detectors in every aisle. The building's humidity is kept below 60% which means that the paper stays immaculate.

Editor's notes:

Filofile is based in rural Somerset where former farmer Simon Barber converted commercial buildings which once housed hundreds of maturing cheeses into a highly secure storage facility suitable for housing not hundreds, but thousands of documents. These include valuable papers, files of documents, engineering drawings, healthcare records, media files and other confidential records that need to be placed into a long-term secure storage facility. The buildings are linked to Police and Fire services and monitored 24/7.

Filofile provides a truly unique service in an area stretching from Bath and all points south to Exeter and the South Coast as well as East to Salisbury Plain offering professional storage for office files. Clients have access to next day or same day delivery and priority or emergency requests can be delivered within two hours of an order.

Filofile has been operating for more than 12 years and clients range from firms of accountants to hospitals, charities, schools and legal services. The business uses advanced barcode technology to ensure accuracy in all areas of document storage. Accurate tracking of documents is achieved by assigning unique barcode identification numbers to each document storage box and shelf location within the secure storage facility.
